Academic Honesty Quick Guide
Confirmed academic honesty violation cases must be reported by the instructor to the student’s home institution using the Academic Honesty Violation Form located in the Faculty Portal (SEADS) if a consequence is assigned. This guide outlines the process for instructors.
Initial Notification and Investigation of Academic Honesty Violations
- For any concerns of an academic honesty violation, the instructor should contact the student via GoVIEW email or the SEADS portal. The communication should detail the concern from the faculty member and the grade penalty to be assessed if the violation is confirmed.
- Following the initial contact, the student is provided with the opportunity to discuss or explain the circumstances. While this communication has typically been conducted via email, we encourage you to make time to speak with the student one-on-one if the student requests. This allows the student an opportunity to clarify and ask questions about the suspected violation and allows for a more personal interaction. The student should provide the instructor with any additional information requested to permit a fair and thorough investigation of the academic honesty concern.
- The student must respond to the concern(s) from step one in writing within seven (7) calendar days (five business days).
- If a violation is confirmed and you have not already done so, submit a case in the SEADS portal to begin the process with eCampus and the student’s home institution. The student will receive a notification from SEADS with the decision from the instructor and the grade penalty that was assessed due to the academic honesty violation.
- The student may appeal the instructor’s decision within seven (7) calendar days (five business days).
Academic Honesty Appeal Procedures
If the student feels that the academic honesty violation was not addressed fairly and accurately by the instructor, the student may appeal to the USG eCampus Associate/Assistant Dean.
- To appeal an academic honesty violation, the student should submit the Student Academic Honesty Violation Appeal Form in SEADS within seven (7) calendar days (five business days) after the initial academic honesty violation notification is received.
- At this level, the student must submit a written statement and include any relevant documentation to demonstrate why the instructor’s decision was not aligned with the course syllabus and the academic honesty policy as defined in the eCore Student Guide. The Associate/Assistant Dean will review documentation and approve or deny the academic honesty appeal. After the Associate/Assistant Dean’s decision is submitted the student will receive an email notification from SEADS.
- If the appeal is not resolved at the USG eCampus Associate/Assistant Dean’s level, the student may escalate the appeal to the USG eCampus Dean through the SEADS student portal within seven calendar days. At this level, the student must submit a new written statement explaining why the academic honesty appeal was not resolved to his/her satisfaction by the USG eCampus Associate/Assistant Dean and include any relevant documentation to demonstrate why the USG eCampus Associate/Assistant Dean’s decision was not aligned with the course syllabus and the academic honesty policy as defined in the eCore Student Guide.
- The Dean of USG eCampus will appoint an ad hoc committee, consisting of a cohort of faculty who teach eCore courses, to review the written academic honesty appeal via conference call or virtual meeting. After careful deliberation and consideration, the committee will recommend a response to the Dean of USG eCampus.
- The Dean of USG eCampus will render the final decision, taking all relevant factors into consideration. After the Dean’s decision is submitted the student will receive an email notification from SEADS
Final judgment on all appeals rests with the student’s home institution. If the student wishes to continue his/her appeal beyond the decision of the Dean of USG eCampus, the student must appeal directly to the university provost at their home institution, following the home institution’s procedures, within seven (7) calendar days (five business days) of being notified of the decision by the Dean of USG eCampus.
